These Terms & Conditions apply to all bookings at Longlands Devon. By making a booking, the lead guest agrees to these Terms & Conditions on behalf of themselves and all members of their group.
Bookings
All bookings made via our online system should be treated as provisional until you receive written confirmation from us by email.
To secure your booking, a non-refundable deposit of 50% of the cost of your stay is required, unless full payment is required at the time of booking. Bookings must be paid in full 6 months before your stay. If the check-in date is less than 6 months from the date of booking, the full cost of the stay is required at the time of booking.
Payment is to be made by bank transfer unless otherwise agreed in writing. Confirmation of the booking will be sent after the deposit or full payment has been received in cleared funds.
If the balance is not paid by the due date, Longlands Devon reserves the right to treat the booking as cancelled by the guest, re-let the accommodation, and retain payments already made, subject to our cancellation terms below.
Longlands Devon only accepts bookings from persons over 25 years of age. The lead guest must be staying at the property for the duration of the booking unless otherwise agreed in writing.
Longlands Devon reserves the right, at all times and without statement of reasons, to refuse or cancel a booking.
The prices shown on the website are not binding and may be modified. At the time of booking, you will be informed of the price applicable to your stay. The price stated on the booking confirmation is binding.
Lead guest responsibility
The lead guest is responsible for ensuring that all members of their group, children, dogs and any approved suppliers comply with these Terms & Conditions.
The lead guest is responsible for any damage, loss, additional cleaning, unpaid charges, disturbance, or breach of these Terms & Conditions caused by any member of their group, any child in their care, any dog brought to the property, or any supplier or third party they have arranged.
Security deposit
A cautionary damage deposit in cleared funds is required one week before the start of any booking that includes Lakeview Farmhouse. Unless otherwise stated in the booking confirmation, the cautionary damage deposit is £1,000.
Where a booking includes Lakeview Farmhouse together with any Safari Lodge Treehouse, other accommodation, facility, experience, grounds or part of the Longlands estate, the cautionary damage deposit applies to the booking as a whole and is not limited to damage or issues arising within Lakeview Farmhouse.
The person or organisation making the booking, referred to as the Lead Booker, is responsible for the conduct of everyone attending Longlands as part of, or in connection with, the booking. This includes all guests, employees, invitees, contractors and any other persons brought onto the estate by a member of the booking group.
The Lead Booker is responsible for any damage, loss, missing items, breach of these booking conditions, unreasonable mess, excessive cleaning requirement, unpaid charges or noise and disturbance caused by any member of the booking group anywhere at Longlands. This includes the accommodation, buildings, decks, grounds, facilities, equipment, fixtures, fittings and contents.
Longlands Devon may retain all or part of the cautionary damage deposit while any matter is investigated and while reasonable repair, replacement, cleaning or other costs are established.
Any deduction will be limited to the reasonable and evidenced cost of putting the matter right. This may include:
repair or replacement costs;
additional housekeeping or specialist cleaning;
replacement of missing keys or security items;
unpaid accommodation, experience or other charges; and
reasonable direct financial losses arising from a breach of the booking conditions, including refunds reasonably paid to other guests whose stay has been materially disrupted by noise, disturbance or other behaviour by the booking group.
Longlands Devon will provide the Lead Booker with a written explanation of any proposed deduction. If the reasonable cost exceeds the cautionary damage deposit, the Lead Booker remains responsible for the outstanding balance. The cautionary damage deposit is security against the booking and does not limit the Lead Booker’s responsibility for losses exceeding that amount.
A cautionary damage deposit payment in cleared funds is required one week prior to the start of the rental. The cautionary damage deposit currently applies to Lakeview Farmhouse only and is £1,000.
Access to Lakeview Farmhouse will be denied if the full cautionary damage deposit has not been received in cleared funds one week prior to your stay. If the cautionary damage deposit is not paid when due, Longlands Devon reserves the right to treat the booking as cancelled by the guest and no refund will be due or issued.
The cautionary damage deposit will be refunded in full within 14 days of departure provided that, following post-departure inspection, no damage, loss, missing items, breach of these booking conditions, unreasonable mess, excessive cleaning requirement, unpaid charges, or noise/disturbance complaint has been identified.
If any damage, loss, missing items, breach of these booking conditions, excessive cleaning requirement, unpaid charges, or complaint is identified, Longlands Devon may hold all or part of the cautionary damage deposit while the matter is assessed and while repair, replacement, cleaning or other costs are established.
Any deduction from the cautionary damage deposit will be limited to the reasonable cost of putting the matter right, including repair, replacement, specialist cleaning, additional housekeeping, contractor attendance, call-out charges, administration directly connected with resolving the issue, or unpaid services/supplies. Where possible, Longlands Devon will provide details of the issue and the basis for any proposed deduction.
Examples include, but are not limited to, damage to fixtures, fittings, furniture, windows, doors, flooring, hot tub areas, decks, lake, kitchens, bathrooms, soft furnishings, missing items, stained bedding or towels, excessive rubbish, blocked drains caused by misuse, evidence of smoking, dog-related cleaning, or additional cleaning beyond normal changeover standards.
Longlands Devon may carry out post-departure inspections and may take photographs or obtain contractor reports, estimates or invoices where damage, loss or additional cleaning is identified.
Where the final cost is less than the cautionary damage deposit, the remaining balance will be refunded once the cost has been established. Where the final cost exceeds the cautionary damage deposit, the guest remains responsible for the additional amount and Longlands Devon reserves the right to recover the balance from the guest. Any additional amount must be paid within 14 days of receiving the written account. The person or organisation named on the booking confirmation is referred to as the Lead Booker.
The Booking Group includes every person attending or using Longlands as part of, or in connection with, the booking. This includes guests, employees, invitees, contractors and suppliers engaged by or attending with the Lead Booker or any member of the group.
The Lead Booker must ensure that all members of the Booking Group are made aware of and comply with these booking conditions. The Lead Booker is responsible for the conduct of the Booking Group and for the reasonable direct costs and losses caused by their acts, omissions or breaches of these booking conditions.
The lead guest is responsible for the conduct of all members of their group, including children, and for any damage, loss, extra cleaning, unpaid charges, or breach of these booking conditions caused by any member of their group, any child in their care, or any dog brought to the property.
Cancellation by the guest
All payments are non-refundable in the event of guest cancellation.
We strongly recommend that guests take out appropriate travel insurance to cover cancellation, illness, travel disruption, adverse weather, personal circumstances, or any other reason that may prevent them from travelling.
Cancellation by Longlands Devon
In the unlikely event that Longlands Devon needs to cancel your booking, we will inform you as soon as possible and refund all monies paid to us by you within 14 days of notifying you.
Longlands Devon will not be liable for any additional costs, losses, travel costs, alternative accommodation costs, or consequential losses arising from cancellation.
Arrival
Please advise us of your intended arrival time and update us en-route.
Check-in is from 4pm. Please plan your journey to arrive within the agreed check-in window so that we have time to welcome you and show you how everything works (4pm – 7pm).
When staying in the Safari Lodges, guests may drive down to their lodge to unpack, but cars must then be parked in the designated car park area. The lodge area is otherwise intended to remain car-free.
Departure
Guests are requested to vacate their accommodation by 10am on the day of departure unless otherwise agreed in writing.
Unauthorised late check-out may result in additional charges where it causes delay, additional staffing costs, or disruption to cleaning/changeover.
Guests are expected to leave the accommodation in a reasonable condition.
Visitors and additional guests
Only guests named on the booking may enter or use the estate.
Day visitors, additional overnight guests, campervans, tents, motorhomes and unapproved suppliers are not permitted.
Exclusive use
Exclusive use is only guaranteed where all relevant accommodation has been formally booked and paid for. Any accommodation not included within your booking remains available for other guests to book.
Self-catering accommodation only
Longlands Devon provides self-catering accommodation only.
Guests are responsible for arranging their own catering, suppliers, activities, transport, event planning and logistics.
Any third-party suppliers must be agreed with Longlands Devon in advance and remain the responsibility of the guest. Guests are responsible for ensuring that any supplier they arrange complies with these Terms & Conditions and with any site rules provided by Longlands Devon.
Longlands Devon is not responsible for the conduct, performance, cancellation, insurance, licensing, food hygiene, or safety standards of any third-party supplier arranged by a guest.
Dogs
Dogs are accepted only by prior agreement.
Lakeview Farmhouse permits a maximum of one small dog, unless otherwise agreed in writing. Each Safari Lodge permits a maximum of one small dog, unless otherwise agreed in writing.
Dogs must be kept under control and on leads at all times around the estate. Longlands Devon is home to cats, ducks, wildlife and livestock may be present nearby.
Dogs must not be left unsupervised in the accommodation and must not be allowed on beds or furniture.
A £60 supplement applies per dog. Guests must clean up after dogs immediately.
Any damage, additional cleaning, odour removal, disturbance, or other cost caused by dogs may be deducted from the cautionary damage deposit where applicable, or charged to the lead guest.
Noise and quiet hours
Longlands is a peaceful rural estate. All members of the Booking Group must behave respectfully and must not cause unreasonable noise, nuisance, disturbance, alarm or distress to other guests, neighbours or members of the Longlands team.
Quiet hours operate between 10pm and 8am.
Outdoor music is not permitted anywhere on the estate. Music must not be played in the Safari Lodge Treehouses unless personal headphones are used.
Quiet music may be played inside Lakeview Farmhouse. From 10pm, all external doors and windows must remain closed and music must be kept at a level that cannot be heard outside the Farmhouse.
Loud shouting, singing or other disruptive behaviour must not continue during quiet hours. If Longlands receives a complaint or considers that a disturbance is occurring, the Booking Group must immediately follow any reasonable instruction to reduce or stop the noise.
A serious or repeated breach may result in the activity being stopped or, where reasonably necessary to protect other guests, neighbours, property or safety, the Booking Group being required to leave without a refund.
The Lead Booker will be responsible for reasonable direct costs and losses caused by a serious noise or disturbance breach, including refunds reasonably and actually paid to other guests whose stay has been materially disrupted.
Smoking, candles and fire safety
Smoking and vaping are not permitted inside any accommodation.
Please do not leave any lit candles, lanterns, fires, log burners, BBQs, pizza ovens, firepits or hot tubs unattended.
Guests must use log burners, firepits, BBQs, pizza ovens and hot tubs only in accordance with instructions provided by Longlands Devon.
Ash must only be placed in designated ash containers once fully cold.
Guests must not move firepits, BBQs, heaters, appliances or safety equipment.
Fires, barbecues, fire bowls, braziers, portable stoves, candles or other naked flames must not be placed or used on or underneath timber decks, inside accommodation or close to canvas, timber structures or combustible materials.
Guests may only use fires, barbecues and heating equipment supplied by Longlands, in the designated locations and in accordance with the instructions provided. Fire equipment must not be moved.
Ash buckets are for completely cold ash only. Hot ash, embers, charcoal, burning wood or partially burned fuel must never be placed in an ash bucket or left on a timber deck.
Any fire, overheating, scorching, smoke incident or related damage must be reported to Longlands immediately, even where the damage initially appears minor.
The Booking Group must not leave any fire, flame, stove or other heat source unattended.
Temporary structures
Guests are not permitted to bring or erect gazebos, pop-up shelters, tents, awnings, marquees or other temporary structures anywhere on the estate, including by the lake, firepit areas, lawns, fields or accommodation areas, unless expressly agreed in writing by Longlands Devon.
Children and supervision
Children are very welcome at Longlands Devon, but they remain the responsibility of the lead guest and the adults in their group at all times.
Children must be supervised at all times, particularly around the lake, boats, stream, hot tub, firepits, log burners, BBQs, pizza oven, decks, stairs, roads, car parks, woodland, fields and any other outdoor or water-based areas.
Children must not be left unattended near the lake, stream, hot tub, firepits, boats, log burners, BBQs or pizza oven.
Life jackets must be worn when using the boats, and children must be accompanied by an adult at all times when using boats or when near the water.
Longlands Devon accepts no responsibility for injury, accidents or incidents arising from lack of supervision, unsafe behaviour, failure to follow instructions, or misuse of the accommodation, estate or facilities.
Hot tub
Hot tub use is subject to availability and must be booked in advance. A minimum of 48 hours’ notice is required.
Guests must follow all hot tub safety instructions provided by Longlands Devon.
Children must be supervised at all times when near or using the hot tub.
Glass must not be used in or around the hot tub.
Longlands Devon reserves the right to withdraw hot tub use where instructions are not followed, where use becomes unsafe, or where there is risk of damage, disturbance or misuse.
Lake, boats, stream and estate facilities
Longlands Devon includes a lake, boats, a stream, nature trails, fields, woodland and natural outdoor areas. These are part of the rural character of the estate and must be used responsibly.
Use of the lake, boats, stream, nature trails, firepit areas, hot tub and other facilities is at the guest’s own risk.
Children must be supervised at all times near the lake, boats, stream, hot tub, firepit areas and any other outdoor or water-based areas.
Life jackets must be worn when using the boats. Children must be accompanied by an adult at all times when using boats or when near the water.
Guests must not swim, boat, use firepits, use the hot tub, enter woodland/fields, or use any estate facilities while intoxicated or where it would be unsafe to do so.
Guests must respect wildlife, habitats, planted areas, restricted areas, neighbouring land and working areas of the estate.
Damage, loss and guest responsibility
Guests agree to take reasonable care of the accommodation, contents, facilities and estate.
Any damage, loss, breakage, missing item, stain, excessive mess, blocked drain caused by misuse, misuse of appliances, smoking evidence, dog-related issue, or additional cleaning requirement must be reported to Longlands Devon as soon as possible.
Guests must not attempt repairs themselves without agreement from Longlands Devon.
The lead guest is responsible for all reasonable costs arising from damage, loss, additional cleaning, unpaid charges or breach of these Terms & Conditions caused by any member of their group, child, dog, approved supplier or third party arranged by them.
Lost property
Guests are responsible for taking all belongings with them on departure.
Where items are left behind, Longlands Devon may assist with return where practical. Guests are responsible for arranging and paying for postage, courier or Royal Mail collection.
Longlands Devon accepts no responsibility for loss, damage or delay in relation to returned items.
Parking and vehicles
Guests must park only in designated parking areas.
Vehicles and belongings are left at the guest’s own risk. Longlands Devon accepts no liability for theft, loss or damage to vehicles or personal property, except where caused by negligence on the part of Longlands Devon.
Guests must not drive on grass, fields, tracks, lodge areas or restricted areas unless instructed to do so by Longlands Devon.
Liability
Guests are responsible for their own welfare and for taking reasonable precautions against personal injury, injury to others, and damage to the accommodation, facilities and estate.
Longlands Devon accepts no liability for theft, loss or damage to guests’ property arising during a stay, except where caused by negligence on the part of Longlands Devon.
Longlands Devon accepts no liability for injury, loss or damage arising from guest misuse of facilities, failure to follow instructions, lack of supervision, intoxication, unsafe behaviour, or breach of these Terms & Conditions.
Website information
We make reasonable efforts to ensure that information on our website is accurate. However, Longlands Devon is a rural estate and facilities, layouts, furnishings, access arrangements, outdoor areas and local conditions may change from time to time.
Photographs are illustrative and may not represent the exact current arrangement of accommodation, furnishings, planting, weather, water levels or seasonal conditions.
Force majeure
Longlands Devon will not be liable for failure to perform or delay in performing its obligations where this is caused by events beyond its reasonable control. This may include, but is not limited to, extreme weather, fire, flood, storm damage, power failure, utility failure, road closure, epidemic, government restriction, natural disaster, serious damage to accommodation, or any other event outside Longlands Devon’s reasonable control.
Where such an event affects a booking, Longlands Devon will contact the guest as soon as reasonably possible to discuss the position.
Breach of terms
Longlands Devon reserves the right to require guests to leave the estate without refund where there is a serious or repeated breach of these Terms & Conditions, including but not limited to unauthorised guests, serious noise disturbance, smoking inside accommodation, misuse of facilities, abusive behaviour, damage, unsafe behaviour, or failure to comply with reasonable instructions from Longlands Devon.
Governing law
These Terms & Conditions are governed by the law of England and Wales.
Any dispute arising from a booking or stay at Longlands Devon shall be subject to the jurisdiction of the courts of England and Wales.
